LMU Catering Policies 2021/22
We pride ourselves in being able to meet almost any catering need. The following steps will help you through the process of organizing your special function.
Arranging and Reserving a Date
Even if the date or guest count of your event is only tentative, please notify our catering sales office so that we can make preliminary plans to ensure a memorable occasion. All information such as location, number of guests, time of the event, billing information and menu selection need to be finalized 3 business days from the date of your event. Our catering specialists are here to assist you by phone or in person with your event details or you may order by phone at 310-338-1818 or through email at loyolamarymountcatering.USA@sodexo.com. Our Catering Sales office is located in the Malone Bldg. 2nd floor, room 221.
Reserving a Location
To reserve a room for an event, book tables, chairs and other equipment, please contact LMU Conferences and Event Services at 310-338-2975. Please have a confirmed reservation for the location before contacting our catering department.
Booking/Planning an Event
Please contact the catering office at least ten (10) days before your event at 310-338-1818, by emailing us at loyolamarymountcatering.USA@sodexo.com or through our on-line ordering system at dining.lmu.edu. You can also stop by our office located in the Malone Bldg. Rm 221, Monday – Friday from 8:30am – 5pm. Some arrangements can be made by phone, email or on-line, others may require an appointment with our sales staff. This will be the time for a thorough discussion of all specifics and details. We can help you make all the necessary decisions and to determine which of our services best fit your needs. Our new on-line catering access adds convenience and control. To get started with the on-line ordering you may give us a call and we can walk you through the process, or you may go to our website at, https://lmuflavours.catertrax.com/. It is accessible from your desktop and will make ordering easier than ever. Our on-line catering programs allow guests to save and review order history, place recurring orders and favorites without re-keying and provides documentation for every step of the process.
Event Confirmation and Guarantees
A contract will be prepared by our catering specialists and sent to you for your review. A guarantee is required 3 business days prior to your event date. This confirmation and guarantee are to include the exact time, location, attendance, menu choices, and room set up. After all the details of your event are finalized, please print, sign and return the contract to the catering office for approval. Please provide us with a diagram for large events or events which include detailed setup instructions.
Last Minutes Changes and Cancellations
New event requests or changes with less than 3 business days’ notice will incur additional charges. Please make every effort to communicate any changes regarding your event. If you do not contact us with a final count within 3 business days, we will prepare for the estimated number and charge accordingly. If you cancel, add or change an event after this deadline, a “Last Minute Service Fee” of 25% and temporary staffing fees ($31.00 per hour or current temp staffing rate) will be applied to your final banquet event order.
Billing and Payment: (For our Campus partners)
The final billing for your event will be based on the guaranteed number of guest or the actual guest count at the event; whichever is greater. Prior to final billing, you will be contacted by our catering office to approve the final guest count and charges, before an invoice is sent for payment to ensure accuracy. All Loyola Marymount University functions must be secured by payment before they occur. Types of payment we accept include Visa, MasterCard, American Express, Cash, Check, and Departmental P-Cards.
Billing and Payment (For all Non-University related events)
All Non-University, related groups/events are required to make a deposit of 50% one week prior to your event date with the balance due 3 days prior to your event based on the guaranteed attendance. Additional guests will be charged upon conclusion of the event. Tax exempt organizations are required to submit a copy of their exemption certificate two (2) weeks prior to their event date.
Complimentary delivery is applicable for most services on campus. Special events may require additional services, please speak with your event specialist for details.
Service Staff and Attendees
To ensure that your event is a success, professionally trained catering staff will be assigned to all catering orders. Charges will be added to all events of 25 guests or more and are based on service needs. All events are priced on an individual basis. Holidays and/or temporary staffing fees may be applied in some cases and will be charged according to each specific event needs.
Our trained, professional catering staff is dedicated to providing the highest level of catering services for every event and staffing needs are determined by your Event Coordinator. If you are planning a “Catering by Design” custom event, request action stations or require bartending services, our sales staff will discuss your staffing needs and associated costs. To ensure that your event is a success additional staffing may be required; please discuss the appropriate number of staff with our catering office to ensure a successful event.

As the host of the catered event, you are responsible for the equipment we have provided for the service of your catered event. Any missing or damaged catering equipment or supplies may result in a replacement charge. For very large events, specialty equipment may need to be rented at an additional charge; please speak with our sales staff regarding these charges and for your additional rental needs.
Our Catering Department provides high quality Eco-friendly service-ware unless otherwise requested or noted. We offer china services for any event upon request (additional labor will be required and applied based on specific needs).
We provide linens for food and beverage tables at no charge. The first 5 linens for Guest tables are included, additional linens for non-service tables may be ordered at $6.00 per tablecloth and $1.00 per linen napkin.
Complimentary linens are available on a first come, first served basis. Specific color requests can be taken but we ask that you provide a secondary color choice at the time of ordering. Specialty linens, drapes and guaranteed color selections are available upon request. Rental charges may be applied based on your specific needs. Your event planning specialist will gladly assist with making these arrangements.
We will be happy to order, receive, and handle floral arrangements for you. For decorative requests, an additional fee will be determined in accordance with your specific needs.
Alcohol and Bar Service
All alcoholic beverages must be served by our certified Sodexo personnel and consumed in designated areas. Proof of age will be required. Flavours LMU Catering reserves the right to refuse service of alcoholic beverages to any person. Some events require special licensing/day permits.
We suggest securing all bar service orders in advance. License processing may take up to 3 weeks via the California Department of Alcohol Control and is not guaranteed by Sodexo. Please consult with your event planning specialist for alcohol requests. LMU requires all student events requesting alcohol be served to provide Licensed No-Host/Cash Bar service.
Bare Package for Set-up
Our Bar Package includes ice, beverage napkins, disposable plastic cups and linens for the setup of the bar. It does not include alcohol. Client is responsible for providing and delivering all alcohol to the catering office 1 business day prior to the event. Any alcohol provided by the client must be picked up at the end of the event. Catering will not be responsible for any leftover alcohol.
